The Client Journey
How working with the clinic actually goes
A short walk-through of everything that happens around your sessions, so nothing comes as a surprise.
What to expect
Sessions run for an hour at the clinic, or 45 minutes for telehealth. We'll talk through what's going on, look at how you're moving, begin treatment, and start building a plan you can actually live with.
The first session is mostly listening and assessing, to establish a comprehensive, understandable baseline. You'll leave with a clearer picture of what's happening and a few things to start with. Sessions after that build on what we found: adjusting, progressing, sometimes circling back when something needs more attention.
Bring comfortable clothes you can move in. If you have scans, reports, or notes from other clinicians, bring those too; context is useful.
Forms
Before your first appointment, you'll get two short forms by email. Together they take just a few minutes.
The first is a quick intake form: your history, what you're hoping to get out of treatment, and the practical bits we need on file. The second asks a few questions about how things are affecting you day to day, which helps me understand not just what's going on, but what getting better actually looks like for you.
Filling both in beforehand means we spend the session on you, not on paperwork. If you don't get to them in time, no problem; we can cover the basics during the session. The forms just make it smoother.
Deposits
Appointments are confirmed with a 50% deposit paid at booking. The remaining balance is paid at the session itself.
How it works across appointments
When you book online, you pay a 50% deposit to confirm. At each session, you pay the remaining balance, plus, if you're booking your next appointment at the same time, the 50% deposit for that one too. That way there's always a deposit securing your next visit, you only ever pay one amount per session, and nothing comes as a surprise.
If you need to reschedule
Rescheduling more than 24 hours before your appointment rolls your deposit straight over to the new slot, no refund, no repaying. The deposit follows you to the new time.
Rescheduling within 24 hours of your appointment is treated the same as a late cancellation, the deposit is forfeited and a new deposit applies to the new booking.
If you need to cancel
If you cancel rather than reschedule, how the deposit works depends on timing:
- More than 48 hours before: your deposit is refunded in full.
- 24 to 48 hours before: your deposit is held on file as credit for 6 months, applied automatically to your next booking.
- Within 24 hours, or a missed appointment: the deposit is forfeited as per our cancellation policy, and a new deposit applies to your next booking.
Genuine circumstances are always taken into account for both rescheduling and cancelling appointments, if something serious comes up, talk to David and he'll look at it personally.
Pausing for a while
If you need to step away and come back later, your deposit can be held on file as session credit for 6 months. Let David know you want to pause, your credit stays valid for 6 months, you'll get a reminder before it expires, and when you book within that window the deposit is applied automatically.
- Let David know you want to pause, he marks your deposit as on-file.
- Your credit stays valid for 6 months from the date of pause.
- You'll get a reminder a month before it expires.
- When you book a new appointment within that window, the deposit is automatically applied, no need to pay again.

Staying in touch
Between sessions, the easiest way to stay in touch is WhatsApp or email. Most of the everyday things (booking, rescheduling, checking an appointment, invoices, receipts) are handled instantly through the clinic's system, so you get what you need without waiting.
Anything clinical (an update on how you're doing, a flare-up, a question about your treatment) comes straight to David. The system makes sure the practical things move quickly and the things that need David's attention reach him personally. He'll usually come back to you the same day.
For anything administrative (invoices, receipts, a question about your booking), a quick message sorts it.

Looking forward to working with you.
David
